OMUTHIYA VOCATIONAL TRAINING CENTRE ADMISSIONS POLICIES AND PROCEDURES

  1. Non-Discrimination Statement

OMVTC in its admission, instruction, and graduation policies, practice no discrimination on the basis of race, religion, color, financial status, gender, ethnic origin, age, veteran status, or sexual orientation. OMVTC is an equal opportunity education Centre that believes that diversity leads to strength and places high value on training for all regardless of age, race, gender, ethnic origin, disability, or religion.

 

OMVTC may not admit trainees that currently attending or admitted to another vocational School/Centre offering a similar program of study. A person is eligible for regular entry into OMVTC if the Applicant meets the following criteria:

 

  • Must be at least 16 years and above. Age will be verified with individual’s ID. If there’s no ID available, then a birth certificate will be required. No original documents only certified copies.
  • At least a person should have a minimum of grade 8 certificate, with a proof of certified copy.
  • Two passport photos should be attached to the Application form.
  • Be Namibian citizens or eligible non-citizens
  • Practical work-related experience approved by the Admission Committee

 

  1. Assessing Recognition of prior learning [RPL]

 

If the applicant is applying for RPL, the applicant is required to make an appointment with the assessor to discuss their eligibility and the process. The assessor will notify the admission committee, with the RPL outcome for the course and then a revised offer is to be made, if required.

 

For payments and charges of RPL applicant should always visit the Centre’s website or prospectus for that current year.

 

 

 

 

  1. Procedure for Application Assessment and Admission.

 

3.1 Prospective students seeking to be admitted to a course offered by OMVTC must make application directly to OMVTC. Application forms and document checklist are always available at Centre web site as well as at OMVTC reception.

 

3.2 On receipt of application form and other required documents, the Administration team will ensure that the application documents are complete for assessment. This would include:

 

  • An application form with all the required fields completed.
  • Certified copies of the academic qualifications (valid).
  • Copy of valid passport or current visa (If foreign only).
  • Administration team has to match and compare all the details of academic history including full name, date of birth etc.
  • Administration team if doubting of something regarding the documents of the applicant or concern to the attention of the Head of the Centre for further investigation.
  1. All the above method should be applied to each and every student attempting to enroll. If there is any doubt about the student’s status, then do not provide the student with an offer letter or attempt to enroll them until status is confirmed.
  2. Administration team should also consider applicant applied online; all attached documents should be confirmed such as proof of payment of application fees.
  3. Administration team should check that the rest of the application form has been fully completed and no information has been left blank and the student has signed and dated the application.

 

  1. Pre-Enrolment stage.

 

  • Not all Applicants that meet the entry requirements will be offered the places of the courses they applied for.
  • OMVTC or Its Administration committee will not be responsible for copies of all documents for unsuccessful students (all documents are non-returnable).
  • The written Administration committee has to send the proof of admission to each and every trainee who is admitted. Admission letter should contain:

 

  • Outline the course or courses in which the student is to be enrolled, the expected course start date, the location(s) at which the course will be delivered, the offered modes of study for the course.
  • List any conditions imposed on the student’s enrolment.
  • List of all tuition fees payable by the students for the course.
  • State that student responsible for keeping a copy of admission letter and all receipts of all payments.

 

  1. Post Enrolment stage

 

  • Administration Team should prepare a list of students who are due to commerce their courses in the upcoming intake.
  • An email, call, text message is sent to the students in advance inviting the students for Orientation. The orientation is scheduled within a week in prior to start intake date of the course.
  • The Orientation email comprises of information:
  • Location, date, and time of orientation
  • What will be done on the day of Orientation
  • All additional requirements (if applies)
  • Any pending initial fees information

 

  • Administration team in assistance of other staffs conducts the orientation presentation and primarily covers the following:
  • Living in Namibia or specifically in Omuthiya town
  • Introduction about OMVTC and its facilities
  • Course outline, Timetable, Trainers and Assessors details
  • Tuition Fee Payment plans
  • All-important OMVTC policies and procedures related to student journey
  • Student support services available in OMVTC
  • Important contacts in OMVTC
  • Centre Touring
  • Students are required to sign the form which contain terms and conditions or policies of OMVTC.

 

8.5 Responsibility

The Administration Team, Trainers, Assessors, Head of Centre and the Advisory board are responsible for OMVTC adherence to the national standard for training organizations article?

Amendments of this policy can be done by the Administration team any time in consultation with the Head of Centre and approval by the Advisory Board.
